MANAGEMENT SERVICE - A STEP by STEP GUIDE.
Most of our White Letting clients let a property or properties
for convenience, investment or both. While they are looking
for proper financial reward without the worry of close
involvement, they also want to be assured that they maintain
control of their property. Our Full Management Service
is designed to meet these objectives in every detail.
RENT
COLLECTION.
Our tenants are normally regular payers and we are glad
to report very few problems in this area. This is partly
thanks to our initial vetting procedures but also to a
computerised system that closely monitors when rents are
due. Any non payment, for any reason, is quickly obvious
and rigorously pursued. Any difficulties receive our immediate
personal attention.
SAFE
REMITTANCE.
Rents, less commission, reach you safely via a Bankers
Automated Clearing System (BACS). We instruct our bank
electronically, which then transfers the amount to your
account as cleared funds so that the money is immediately
available to you - no lost cheques, postal problems or
visits to the bank!
CLEAR
RECORDS.
Our monthly statements are there to keep you fully informed,
detailing rent due dates and when collected from your
tenant. It shows your income and expenditure along with
the amount sent to your bank. We can also send you end
of year tax summaries upon request or previous statements.
SECURITY.
Tenants found by us have already passed our rigorous vetting
procedures. Doubtful applicants are readily rejected.
However, we can also offer comprehensive insurance for
landlords, part of which can cover loss of rent. Details
are available on request.
REPAIRS
and MAINTENANCE.
We can deal with all running repairs, sometimes at no
cost, while ensuring necessary work on routine maintenance
contracts is carried out. Any larger repairs are investigated
by the White Letting team, estimates are obtained and
then your approval is sought prior to proceeding. Importantly,
if we have to use external contractors, we always check
that work is actually completed and to our satisfaction.
As an annual gas safety certificate is a legal requirement,
we will arrange for annual gas checks by a Corgi Registered
Engineer. We can use our contractors or, if you prefer,
your own.
EASILY
AVAILABLE.
From a tenant’s viewpoint, the landlord or managing
agent’s reputation is largely judged by the speed
and quality of maintenance issues. That’s why contact
is essential 24/7, whether it is for something as major
as a water leak or simply a tenant being locked out of
the property. Tenants are issued with a Tenancy Notes
pack giving them details of what to do and who to call
in an emergency if our office is closed. As part of legal
requirements, basic safety instructions on electrical
appliances are also included.
PROPERT
VISITS.
Each property in our care is visited periodically, not
just to check that tenants are treating your property
with respect but also for signs of wear and tear that
may need addressing. After all, prevention is often better
than cure. For instance, overflow pipes that continually
run to the outside of properties is a common cause of
problems sometimes overlooked and therefore not reported
by tenants. This is not solely a waste of water. It can
also cause damp intrusion that then becomes costly to
repair.

COMPLAINTS and ADVICE.
We deal with all your tenant’s day to day needs,
involving you as much or as little as you choose.
CARE
FREE GENERAL MANAGEMENT.
We relieve you of the payment of property related bills,
obtaining estimates for larger work, dealing directly
with contractors and overseeing regular maintenance contracts.
We guide you over legal issues and oversee notices when
the tenant is due to move out. Under separate contract,
we can arrange and report on major work.
TENANT
VACATES the PROPERTY.
When it is time for the tenant to move out, we arrange
to meet them at the property. Meter readings are checked
and we request proof that all utilities are fully paid
and finalised. Keys are collected and we check that the
property is secure, appliances are switched off and that
fridge and freezer doors are left open. A thorough check
is made of the inventory and we agree any dilapidation
figure between you and the tenant. If necessary, we arrange
for dilapidations to be corrected. Once we have received
receipted utility bills, we pass on any dilapidation money
to you and refund the balance to the tenant.
PREPARE
for RE-LETTING.
As soon as your tenant has moved out, preparation begins
for your new tenant’s occupation. Our property cleaning
service is made available. As a requirement of law, we
will arrange for a ‘Portable Appliance Test’
(PAT Test) to be undertaken to all your electrical appliances.
